Optima Ecom AI was founded in 2022 after the founding team spent years watching e-commerce operations teams drown in repetitive, automatable work. We're not a large agency — we're a focused team of four, and we keep it that way intentionally.
Built out of frustration with generic automation tools
Before founding Optima Ecom AI, the team worked in e-commerce operations and software development. The problem wasn't a lack of automation tools — it was that none of them fit the actual complexity of running an online store.
Off-the-shelf chatbots couldn't handle product-specific questions. Generic recommendation engines surfaced irrelevant items. Email sequences ignored what customers had actually bought or browsed.
We started building custom agents for a handful of stores in Berlin. The results were measurably better than what the generic tools were producing, and word spread. By the end of 2022, we had formalised the company as Optima Ecom AI GmbH.
We're still a small team by design. Every client project involves at least one senior person throughout — not just at the kickoff call.

Principles that shape how we work
Honest project scoping
We don't quote projects before we understand them. If a discovery call suggests the scope is unclear, we'll say so before proposing a price. We also tell clients when we don't think AI will help.
GDPR by default
German clients expect clear, contractual data handling. Every project includes a data processing agreement. We document what data flows where and keep it in EU infrastructure wherever possible.
No exaggerated claims
We can describe what an agent does and how it's been configured. We don't make promises about revenue impact or conversion rates — those depend on too many factors outside our control.
Human oversight stays in
AI agents are built to handle clearly defined tasks, with escalation paths for anything ambiguous. Your team keeps control of edge cases, complaints, and anything requiring a judgment call.
Small scope, deep focus
We don't take on more projects than we can staff properly. A senior person is involved in every project from kickoff to handover — we don't outsource delivery to junior contractors.
Practical over impressive
An agent that reliably handles 60% of support tickets is more useful than one that claims to handle everything but breaks on edge cases. We build for reliability over demo-ability.
